Stearns County increased spend control, saved time, improved user satisfaction

Challenge

Stearns County’s expense management journey began with a paper-based system that required extensive manual input. After upgrading to a SharePoint-based system, they started to see the benefits of basic automation. Yet the solution was limited in reporting, lacked mobile capabilities, and required manual audit. The AP team spent approximately 40 hours per week manually reviewing expense reports.

With automation, user experience, and analytics in mind, Stearns County issued an RFP and ultimately selected Emburse to take expense management to the next level.

Emburse Solution

As a government agency, Stearns County has many unique expense reimbursement policies and requirements. Emburse configured the solution to meet their needs. Custom-built rules automatically enforced compliance, which reduced expense report processing time by more than half.

Mobile features enabled employees to quickly and easily submit expense reports from the field and allowed managers to approve directly via email, resulting in faster reimbursements.

In the future, Stearns County plans to use Emburse Analytics data more strategically to drive business decisions and may consider additional Emburse solutions.

A huge upside of selecting Emburse is that they offer a suite of spend management tools, so as we advance as an organization, we can easily add more Emburse solutions to help support our digital transformation.”
